Who can see which data?
Every role has a defined access scope. Payroll specialists see all client data they are assigned to. HR teams see only their own company. Clients see only their own company. Employees see only their own records. Nobody sees anything outside their scope.
Can clients see other clients' data?
No. Client accounts are fully isolated. A Mandant or company sees only its own employees, documents, and history — never another client. This is enforced at the data layer, not just the UI.
What if an employee does not want a portal account?
Self-service is opt-in for employees. If an employee skips the portal, payslips can still be delivered by post, email, or via their HR contact. The employer keeps full visibility either way.
How do role-based permissions work in practice?
Permissions are granted per role — payroll specialist, HR admin, client admin, employee. Each role has a default scope you can fine-tune per person if needed. Changes to permissions are logged in the audit trail.
Is the audit trail GDPR-compliant?
Yes. The audit trail logs business actions (changes, approvals, exports) — not browsing behavior — and is retained according to German legal retention requirements. All data is encrypted and stored in EU data centers.
Can we customize roles for our setup?
Yes. The default roles cover the vast majority of cases, but for larger firms and companies we configure custom roles (e.g., read-only auditor, regional HR lead) during onboarding.
